Skills and Qualifications :
- Minimal have 3 years of experience to work closely with management and board of directors
- Have experience as secretary, personal assistant and business relations is a plus
- Experienced in Google Workspace (Docs, Spreadsheet), Microsoft Office (Power Point, Word and Excel) and project management tools (Trello / Notion), familiarity with ERP system is a plus!
- Good communication skills in Bahasa and English with cross department, stakeholders, principals and vendors
- Excellent administration skills and ability to create comprehensive and detail reports
- Able to work in a fast-paced company, high tolerance of pressure and able to be contacted on the weekends and after office hours
- Attention to details, good time management and multitask, able to work with minimum supervision, dynamic person and team player, proactive
Responsibility
- Work closely with board of directors, create minutes of meeting and have a discussion with other department head / stakeholders on business purpose
- Collect data, create comprehensive reports on business activities and analysis report for decision making
- Manage important company documents and data, including manual and digital archiving.
- Create simple financial reports, accounting and tax reports, and other administrative documents and comprehensive reports.
- Assisting the sales team with the preparation of offers, customer data analysis, and smooth sales activities.
- Supporting smooth operations in various divisions (export-import, port agency, liner agency) and ensure the completeness of operational documents.
- Communicate with clients/customers, vendors, principals, vendors and stakeholders regarding import-export services, operational, and problem solving.
- Assist management in preparing agendas, schedules, and other personal administrative needs.
