The Position
Responsibilities:
- Create shipment planning refers to order forecast & production schedule accordingly.
- Perform all export import activities running smoothly & adhere to the planning.
- Prepare & review shipping document accuracy & completeness, also comply with customs regulation.
- Apply import permits to BPOM, Kementerian Kesehatan & other government as required.
- Collect import and export documents and submit them to the customs broker for PEB (Pemberitahuan Export Barang) and PIB (Pemberitahuan Import Barang) creation.
- Review PEB and PIB are issued by custom brokers in compliance with KITE Pengembalian requirements for KITE materials and KITE Finished Goods.
- Submit export documents to Pasuruan customs for inspection purposes for exports categorized under the red line or consol export.
- Assist with customs inspections for export at the outbound warehouse.
- Collect and archive all shipping documents completely for Custom & Tax Audit purpose
- Reconciling all transaction data of goods movement incoming, outgoing & production usage in KITE Inventory system refers to SAP data & Customs data (export & import) and escalate if any discrepancies between SAP and KITE inventory.
- Regularly check LHPRE and upload the required documents to the customs system.
- Prepare BCL KT.02 for duty drawback proposals.
- Create proposal letters for duty drawback applications, including all required shipping documents, payment remittances, and BCL KT.02.
- Monitor approval letters from customs for duty drawback proposals.
- Upon receiving customs approval letters, share the tracker file with the finance team to confirm payment of import duty drawbacks to Organon’s bank account.
- Provide daily tracking reports for all activities related to the end-to-end KITE process, from import and conversion to export, duty drawback proposals, monitor approval and & duty payments receipt from customs.
- Update customs regulation if any change which has impact to company business process.
- Ensure all export-import activities comply with AEO requirements, including monitoring periodic payments, PIB prenotification reconciliation, and other AEO requirements
- Support for collaboration & team work anytime once required
- Actively participate in achieving Logistics Key Performance Indicators (KPIs)
- Maintain clear communication and strong relationships with third parties (forwarders and customs brokers) and government officers (customs and other relevant agencies) to ensure full compliance with business practices.
- Serve as the representative/contact person for matters related to forwarding (export-import), customs brokerage, and export-import-related licensing.
- Actively contribution to continuous improvement initiatives in the areas of distribution, logistics, productivity, and cost efficiency.
- Participate in continuous improvement efforts within logistics and other related functions.
Required Education, Experience, and Skills
Bachelor’s degree in a relevant field.
A minimum of 1-2 years of experience in logistics, including export-import operations.
Proficiency in preparing detailed technical reports and processing data using Microsoft Office applications (Word, Excel, PowerPoint).
Active involvement in continuous improvement and problem-solving activities within the unit.
Ability to work independently and collaborate effectively with related functions.
Strong skills in verbal and written communication, negotiation, and coordination with internal and external parties, such as freight forwarders, customs brokers, transporters, and customs officer.
Familiar with customs regulation related to export import, customs facilities such as KITE, Bonded Zone, AEO, HS (Harmonized System) Classification & etc is add value for company.
A strong motivation for self-development.
High proficiency in both written and verbal English communication, as well as fluency in the local language.
