Job Description
Job Summary:
The Junior Facility Coordinator will oversee the smooth and efficient daily operations of our coworking spaces in India, the Philippines, and other assigned new market countries (currently Japan, Korea, China, Australia). This includes managing vendor relationships, coordinating workplace services, supporting employees, and ensuring compliance with company policies and local regulations. Acting as the primary point of contact for all facility-related matters, the Junior Facility Coordinator will play a key role in maintaining a productive and well-maintained work environment for employees and all related stakeholders.
Key Responsibilities:
1. Facility Operations
Coordinate with coworking space management teams across India, the Philippines, and assigned new market countries (currently Japan, Korea, China, Australia) to address facility-related issues and ensure a seamless office experience for employees.
Monitor office cleanliness, maintenance, and functionality, escalating issues as needed, and liaising with coworking space management teams.
Coordinating with coworking space management teams ensures that all office equipment (printers, internet, meeting rooms, etc.) is operational and well-maintained.
2. Workplace Services & Employee Support
Assist employees with workspace needs, seating arrangements, and general office inquiries.
Ensure office supplies, pantry items, and consumables are well-stocked and replenished on time.
Manage stock supplies (office supplies, food & beverage) and coordinate meal arrangements as needed.
3. Vendor & Service Provider Management
Liaise with coworking space operators for office services, maintenance, and repairs across all assigned countries, including with onsite services supported by coworking space.
Track service agreements, renewal dates, and ensure compliance with contractual obligations.
4. Health, Safety & Compliance
Ensure compliance with workplace safety and security policies in line with company standards and coworking space regulations.
Conduct periodic checks to ensure emergency exits, fire extinguishers, and first aid kits are accessible and in good condition.
Support office emergency preparedness and evacuation procedures.
5. Administrative & Reporting Duties
Support and Maintain records of office expenses, invoices process, and vendor contracts.
Assist in tracking budgets for coworking space-related costs.
Provide support for facility-related projects, relocations, or office expansions.
Update supervisors regularly through dedicated tracking tools and internal communication platforms.
6. Project Support
On behalf of the Office Facility Management team, actively participate in and provide support for any facility-related projects in the assigned countries.
Collaborate with the team to ensure the successful execution of projects related to office setup, relocations, or enhancements while aligning with local needs and company objectives.
Requirements
Qualifications & Skills:
Education: Diploma or Bachelor’s degree in Facility Management, Business Administration, or a related field.
Experience: A minimum of 1-2 years of experience in office administration, facilities coordination, or coworking space operations.
Technical Skills:Basic knowledge of office infrastructure, maintenance, and workplace technology.
Soft Skills: Excellent organizational, time-management, and problem-solving skills.
Proactive mindset with the ability to multitask effectively.
Administration:
Familiarity with Microsoft Office and reporting tasks.
Communication:
Strong verbal and written communication skills in English.
Proficiency in additional local languages from one or more the assigned countries (India, Philippines, Japan, Korea, China, Australia) will be a valuable asset.
Collaboration:
Ability to work effectively with cross-functional teams and external vendors.
