Bali.Love is an Australian wedding company based in Bali and now looking for Wedding Planner Assistant as part of our growing company!
Reporting to: Wedding Planner / Operations Manager
Key Responsibilities:
Planning and Coordination:
- Assist the Wedding Planner in meeting with couples to understand their vision, preferences, and requirements for their wedding.
- Help create detailed wedding timelines and schedules, ensuring all elements are accounted for and coordinated.
Vendor Management:
- Coordinate with Vendor Liaison in researching, contacting, and coordinating with various vendors, including florists, caterers, photographers, and entertainment.
- Help manage vendor contracts, payments, and follow-ups to ensure all services are confirmed and on track.
Logistics and Setup:
- Assist in coordinating venue setup and tear down, ensuring all decorations, seating arrangements, and other details are executed according to plan.
- Help manage the logistics of the wedding day, including transportation arrangements for the couple, wedding party, and guests.
Event Execution:
- Be present on the wedding day to assist with coordination and ensure everything runs smoothly.
- Address any unexpected issues or last-minute changes, providing solutions and keeping the Lead Wedding Planner informed.
Guest and Bridal Party Assistance:
- Assist with guest management, including seating arrangements, special requests, and ensuring guests are informed and comfortable.
- Provide support to the bridal party, helping with attire adjustments, managing personal items, and attending to any needs that arise.
Administrative Tasks:
- Help maintain accurate records of wedding details, budgets, and timelines.
- Assist with managing communication between the couple, vendors, and the Lead Wedding Planner.- Handle various administrative tasks, such as answering phone calls, responding to emails, and organizing planning materials.
Requirements
- Must be Bali based.
- Must be able to speak & write in English proficient
- Has at least 1 year experience in event planning, hospitality, or a related field is preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to remain calm and composed under pressure.
- Attention to detail and a proactive approach to problem-solving.
- Flexibility with working hours, including weekends and evenings as required.
- Proficiency in Microsoft Office and other relevant software.
