Logistics and Partnership Coordinator

Role Purpose:
The Logistics and Partnership Coordinator is responsible for managing and overseeing effective, efficient, and compliant logistics, procurement, asset management, warehouse management and fleet operations in collaboration with both internal teams and implementing partners. This role ensures that both operational and programmatic supply chain activities are delivered according to Save the Children and donor standards.
Approximately 20–30% of the supply chain processes will be executed directly by implementing partners under the Save the Children guidance and monitoring. The role plays a key role in capacity building, technical assistance, coordination, and oversight to ensure partner executed activities meet required standards, while also managing internal logistics operations to support program implementation.
What You will do:
A. Partner Support and Capacity Building:
- Assist in assessing implementing partners’ supply chain capacity and identifying areas for improvement.
- Provide technical guidance, coaching, and hands-on support to partners in procurement, warehousing, asset tracking, and compliance with SCI and donor requirements.
- Support the rollout of standard operating procedures (SOPs), training modules, and documentation templates.
- Monitor and follow up on the implementation of supply chain policies and practices by partners.
B. Procurement and Logistics Oversight:
- Review and verify partners’ procurement documentation to ensure compliance.
- Support partners in preparing procurement plans and tracking their execution.
- Work closely with implementing partners to coordinate the timely delivery of goods and services.
- Liaise with partners on logistics issues, including fleet, asset, and warehouse management.
C. Asset Management
- Maintain up to date asset registers for both program and operational assets, in coordination with Tech and Digital Unit (TDU).
- Ensure proper asset tagging, assignment, tracking, and safeguarding.
- Conduct periodic asset verifications, annual physical counts, reconciliations, and support disposal processes in compliance with policies.
- Ensure proper usage, documentation, and accountability for all organizational assets.
D. Fleet Coordination
- Coordinate fleet operations to support program and operational needs, including scheduling, vehicle allocation, and usage monitoring.
- Ensure fleet usage complies with organizational safety, security, and fuel management standards.
- Maintain accurate fleet records, including logbooks, maintenance schedules, and incident reporting.
E. Storage and Inventory Management
- Oversee storage and inventory management for non-program and operational supplies.
- Ensure accurate receiving, recording, storing, issuing, and reporting of inventory items.
- Maintain proper stock records and ensure clean, organized, and safe storage conditions.
F. Warehouse Management:
- Coordinate closely with the Humanitarian team to ensure appropriate storage, monitoring, and replenishment of emergency response inventory.
- Coordinate with third-party logistics (3PL) warehouse providers to support the efficient handling, storage, and dispatch of humanitarian supplies, ensuring compliance with organization warehousing and safety standards.
- Ensure all inventory items are received, recorded, stored, and issued in accordance with organization standards.
- Maintain proper stock records, conduct regular stock takes, and submit monthly inventory reports.
- Ensure safe, clean, and organized warehouse conditions and compliance with health and safety standards.
G. Monitoring, Reporting, and Compliance:
- Support in conducting supply chain spot checks and monitoring visits to partner offices and project sites.
- Collect and analyze supply chain related data and assist in reporting progress against procurement plans.
- Flag any discrepancies or compliance issues to the Strategic Supply Chain Specialist and assist in resolving them.
- Ensure all procurement, asset, fleet, and logistics documentation is properly filed and audit ready.
H. Coordination and Collaboration:
- Participate in joint visits with project and supply chain teams.
- Coordinate with the program and finance team to ensure smooth operations and aligned processes.
- Support in organizing learning sessions and experience-sharing forums among partners.
What We need:
Essential
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field; or minimum 4 years of relevant experience in logistics/supply chain management, preferably with NGOs or INGOs
- Experience working with or supporting implementing partners
- Strong understanding of procurement and logistics standards (e.g., competitive bidding, documentation, compliance)
- Good facilitation and training skills
- Strong interpersonal, communication, and coordination skills
- Ability to work independently and as part of a team
- Proficient in MS Office (Word, Excel, PowerPoint)
Desirable
- Experience working with child focused organizations
- Knowledge of donor compliance
- Fluency in both Bahasa Indonesia and English
- Willingness to travel to field locations
