The Administration Coordinator provides essential administrative and operational support to the Food & Beverage department. This position is crucial in maintaining smooth daily operations by managing documentation, coordinating schedules, tracking inventory, and facilitating internal communication. Serving as a key connection between the service team, kitchen, and management, the coordinator helps ensure operational efficiency and a high standard of guest satisfaction.

Key Responsibilities:
- Maintain accurate documentation including attendance records, overtime reports, staff schedules, and daily sales summaries.
- Assist in creating and updating staff rosters, ensuring proper coverage for all service areas.
- Coordinate daily briefings, shift handovers, and internal communications within the F&B department.
- Support the F&B Manager with administrative tasks such as report preparation, purchasing requests, and training documentation.
- Track stock usage, assist in inventory control, and coordinate with the Store and Purchasing teams.
- Prepare and submit weekly and monthly reports related to operations, staffing, and expenses.
- Assist in onboarding new staff by managing administrative requirements and training schedules.
- Ensure departmental compliance with company policies, procedures, and hygiene standards.
- Monitor and help follow up on guest feedback, incident reports, and service improvement plans.
- Provide general support for meetings, internal audits, and team events.
Key Requirements:
- Proven of experience in an administrative or coordinator role, preferably in F&B or hospitality.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with POS or HR systems is a plus.
- Fluent in English.
- Strong organizational skills, attention to detail, and time management.
- Ability to handle multiple tasks in a fast-paced environment.
- Professional attitude, trustworthy, and able to maintain confidentiality.
- Willing to work flexible hours if required during events or peak periods.
