Job Overview:
We’re looking for an organized, proactive, and service-minded professional to join our team as a
Client Leads Program Coordinator. In this role, you will assist with all aspects of sales funnel
management, from new inquiry qualification to assignment and post-booking data
management. You’ll also assist with select client and supplier communications, ensuring timely
customer service and partnership.
Key Responsibilities:
- Qualify and Distribute Leads – Assess incoming leads; post and assign qualified ones;
ensure funnel velocity and equitable distribution across eligible advisors.
- Manage Client Inquiries – Follow up as necessary with prospective clients to clarify
requests, gather missing details, and keep engagement high.
- Data Management – Track and organize Program bookings data, maintain and improve
data analysis and visualization tools. Keep legacy bookings data current.
- Contribute to Special Projects – Take on ad-hoc initiatives that improve our processes
and client satisfaction.
- Collaborate with Management – Participate in weekly check-ins to align on priorities
and share progress.
- (Optional) Support VIP Clients – Craft thoughtful, timely communications for
high-priority clients, ensuring a personalized experience.
- (Optional) Coordinate Concierge Requests – Arrange dinner reservations, spa
services, transfers, and other bespoke experiences in partnership with concierge teams.
Qualifications & Skills:
- 2+ years of previous experience in a client-facing role and administrative support
- Exceptional organizational skills and attention to detail.
- Clear, confident, and professional written communication skills.
- Proficiency in CRM, workflow management, and data analysis platforms.
- Ability to manage multiple priorities in a fast-paced environment.
- A customer-first mindset; hospitality or travel operations experience is a strong plus.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Strong critical thinking and problem-solving skills to handle unexpected changes and client requests efficiently.
- Ability to collaborate effectively with advisors, managers, and external partners to achieve shared goals.
Additional Job Requirements:
- Independent full-time remote contractor position with an initial hourly rate of $9-10, based on experience.
- Candidate must be able to work during EST hours and weekends
- The contractor must provide their equipment, including a computer and a strong internet connection.
