Job Summary:
We are looking for a highly organized, experienced, and strategically minded Back Office Manager to oversee and direct our company's Finance, Human Resources (HR), and Legal functions.
Reporting directly to the director’s board, this role is crucial for ensuring the smooth, efficient, and compliant operation of the company's administrative core.
The successful candidate will be a hands-on leader, capable of managing day-to-day operations while also contributing to the company's strategic goals and ensuring adherence to all relevant Indonesian regulations.
Key Responsibilities:
1. Human Resources (HR) Direction:
Oversee the entire HR function, including recruitment, onboarding, employee relations, performance management, compensation and benefits, training, and offboarding.
- Ensure compliance with Indonesian labor laws
- Develop, implement, and update HR policies, procedures, and the employee handbook and SOP’s.
- Manage payroll processing and administration (in coordination with Finance where applicable).
- Foster a positive, productive, and compliant work environment across all locations.
- Handle employee grievances and disciplinary matters professionally and according to legal requirements.
Manage BPJS Ketenagakerjaan and Kesehatan administration and compliance.
2. Legal Direction:
Ensure overall company compliance with Indonesian laws and regulations relevant to retail operations, corporate governance, and employment.
- Oversee the management of all company contracts (e.g., shop leases, supplier agreements, employment contracts).
- Manage corporate secretarial duties, including company registrations, permits, and licences, ensuring they are up-to-date.
- Act as the primary point of contact for legal matters, liaising with external legal counsel as needed.
Mitigate legal risks by ensuring adherence to best practices and regulatory requirements.
Qualifications and Experience:
Bachelor's degree in Finance, Accounting, Law, Business Administration, or a HR related field. A Master's degree or professional certification (e.g., CPA, Brevet Pajak, HR certification) is a plus.
- Minimum 5 years of progressive experience in a management role overseeing multiple back-office functions, including significant responsibility in Finance, HR, and Legal/Compliance.
- Essential: In-depth knowledge and practical experience with Indonesian financial regulations, tax laws, corporate law, and labour laws.
- Proven experience in financial management, budgeting, reporting, and tax compliance.
- Strong background in HR management, including policy development and legal compliance.
- Experience managing contracts and ensuring corporate legal compliance.
- Experience in the Indonesian retail industry is highly desirable.
Fluency in English (written and spoken) is required.
