Job Requirements
- Minimum Bachelor's degree (S1) in Information Technology, Computer Systems, Computer Science, or a related technical field.
- Minimum 3 years of hands-on experience in managing IT assets, including maintaining accurate hardware and software inventory, updating asset management systems, overseeing procurement and disposal workflows, and ensuring software license compliance.
- Minimum 5 years for team lead roles, with proven capability in full asset lifecycle management, vendor coordination, and generating detailed reports for audits and regulatory compliance.
- Proficient in verbal and written communication in English; able to coordinate clearly and effectively with internal users, external vendors, and cross-functional support teams.
- Hands-on experience managing the entire IT asset lifecycle, including procurement, inventory tracking, deployment, maintenance, and retirement of hardware and software assets.
- Proficient in using IT Asset Management (ITAM) systems or ITSM-integrated modules such as Ivanti, Jira Service Management,
or Freshservice for accurate asset tracking, reporting, and compliance.
- Ability to track and manage software licenses, ensure compliance with vendor agreements, and maintain accurate and up-to-date
records for audits and operational needs.
- Skilled in producing regular asset reports—including stock levels, asset movement, and depreciation tracking—and in supporting internal and external audits with accurate documentation and compliance records.
- Able to coordinate asset purchases, manage warranty claims, and track delivery timelines by working closely with vendors and internal procurement teams to ensure timely and accurate fulfillment.
- Competent in maintaining comprehensive asset documentation, including ownership records, condition logs, warranty information, and asset tagging to ensure accurate tracking and accountability throughout the asset lifecycle.
- Understands and follows secure disposal procedures for obsolete IT equipment, including data sanitization practices that comply with company policies and industry standards to protect sensitive information and ensure regulatory compliance.
- Able to work effectively with IT Support, IT Admin, and other relevant teams to ensure seamless asset deployment, tracking, and coordination throughout the asset lifecycle.
- Willing to adapt to project timelines, asset delivery schedules, or inventory tasks that may require flexible working hours, including evenings or weekends, to meet operational demands.Detail-oriented, responsible, methodical, and proactive in maintaining accurate, up-to-date IT asset records to ensure compliance, traceability, and effective lifecycle management.
Scope Of Works
1. Asset Lifecycle Management
- Create and maintain initial Asset Records in the Asset Tracker or IT Asset Management (ITAM) tool.
- Update asset information throughout the lifecycle (deployment, movement, return, disposal).
- Receive asset deliveries and ensure documentation such as BAST (Berita Acara Serah Terima) and invoices are properly recorded.
- Maintain a repository of supporting documents related to IT assets, including:
- UAT (User Acceptance Test) forms
- BAST
- Disposal evidence
- Lost/stolen reports
- Warranty forms and documentation
2. Asset Deployment
● Prepare end-user assets before deployment:
- Perform condition checks and record findings in the UAT form
- Obtain user signature to confirm
● Document signed receipts for all asset deployments and returns.
● Perform deployment activities in accordance with Traveloka standards and timelines.
3. Asset Return and Redeployment
● Receive returned assets and perform condition and usability checks.
● Clean up data from returned devices.
● Assess whether the asset can be reused (re-deployment or disposal preparation).
● Document asset conditions using the UAT form and obtain required approvals.
4. Asset Disposal
● Prepare assets for secure disposal:
- Physically assess condition
- Complete documentation including UAT and disposal form
- Coordinate with designated disposal vendors or services
5. Physical Asset Verification
● Collect physical asset data for reconciliation with the system.
● Conduct physical checks of all assets twice annually.
6. Reporting and Documentation
● Generate weekly, monthly and provide asset-related reports as required.
● Define metrics and reporting format to reflect the current asset inventory.
● Support audits with documented evidence and up-to-date asset records.
● Ensure all asset-related activities comply with Traveloka’s IT policies and security guidelines.
7. SOP and Process Development
● Create and update Standard Operating Procedures (SOPs) and Work Instructions related to:
- Asset deployment
- Return
- Reuse/redeployment
- Disposal
- Documentation handling
8. Documentation and Knowledge Sharing
● Create and maintain Standard Operating Procedures (SOPs) or Work Instructions (WI) for recurring service activities and issue handling
processes.
● Ensure all documentation reflects current tools, processes, and Traveloka's IT policies.
