We are seeking a highly organised and proactive Office & Business Support Coordinator to provide comprehensive support to our CEO, finance team, logistics manager, and overall office operations. This is a varied role that will suit someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and takes pride in keeping both the business and the team running smoothly.
Key Responsibilities
1\. Executive & CEO Support
- Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
- Prepare agendas, meeting notes, and follow-up actions.
- Support project tracking and ensure deadlines are met.
- Assist the finance function with invoicing, expense tracking, and payment schedules.
- Liaise with suppliers to ensure timely billing and payment processes.
- Maintain accurate financial records and support basic reporting.
- Work closely with the Logistics Manager to support shipping, customs documentation, and order tracking.
- Maintain supplier and freight forwarder communication to resolve issues quickly.
- Keep product and shipment records up to date in company systems.
- Manage office supplies, stationery, and day-to-day facility needs.
- Organise company files (digital and physical) for easy access.
- Coordinate internal communications and team activities.
- Provide ad-hoc administrative support to all departments as needed.
- Minimum 2 years’ experience in office administration, executive assistance, or business coordination roles.
- Excellent organisational and multitasking skills with strong attention to detail.
- Proficient in Microsoft Office Suite and Google Workspace.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Familiarity with logistics or finance administration is a plus.
