JOB PURPOSE
To provide frontline HR administrative support by maintaining accurate employee records, responding to basic employee inquiries on payroll, leave, and attendance, and assisting with routine HR processes under close supervision
Employee Records
- Maintain and update personnel files and HRMS entries with new hires, changes, and terminations to ensure compliance and data integrity
Employee Queries
- Serve as first point of contact for routine HR questions regarding attendance, leave balances, and company policies, escalating complex issues as needed
Recruitment Assistance
- Support the recruitment process by scheduling interviews, preparing offer letters, and coordinating background checks
Payroll Support
- Collect and verify documentation for new hires, promotions, and terminations to facilitate accurate payroll processing
Reporting
- Generate basic HR reports (e.g., headcount, leave summaries) for HR business partners using HRIS and Excel
SPAN OF COMMUNICATION
- Internal: All employees, HR Team Leads, Payroll, Facilities
- External: N/A
JOB RELEVANT INFORMATION (BOUNDARIES & DECISION-MAKING AUTHORITY)
Operates under the guidance of HR Supervisors; authorized to make routine data-entry decisions within established HR policies
Skills
Required Qualifications:
- Diploma or Bachelor’s degree in HR, Business Administration, or related field
Preferred Experience:
- 0–1 years in HR, administrative, or customer-service roles
Job-Specific Skills:
- Proficient in MS Office and basic HRIS navigation (e.g., SAP, BAAN)
- Attention to detail, clear verbal and written communication, and teamwork orientation
