Program Overview
The Energy and Sustainable Business (ESB) program in WRI Indonesia works to advance decarbonization among businesses, accelerating a just transition towards net-zero emissions in Indonesia while balancing the need for economic development. Supporting Indonesia’s pledge on Net Zero Emissions and energy transition, we are seeking to advance the private sector's contribution towards net zero, at any scale of business. In collaboration with our partners, including companies, KADIN Net Zero Hub, business associations, industrial parks, PLN, and key ministries, we provide the private sector with a decarbonization journey framework through training and technical assistance. This long-term effort requires both policy and technical knowledge, combined with WRI’s convening power, to ultimately move the key stakeholders to take action and achieve the intended emission reduction.
One of our projects, Sustainable Energy Transition in Indonesia (SETI), has the main objective to support Indonesia’s energy transition by increasing the share of renewable energy and improving the energy efficiency of key industries, as well as the built environment. To achieve this, SETI follows a multi-level approach that focuses on the demand perspective: it demonstrates innovative technologies and business cases to encourage private sector actors to replicate successful renewable energy and energy efficiency approaches in industry. This is accompanied by improving the readiness of financial instruments for sustainable energy investments. Through piloting integrated energy planning and its implementation on the municipal level, SETI will also bring the topic of decarbonization to the sub-national level. Finally, SETI loops back results, lessons learned, and experiences to the national level to design a relevant and fertile policy framework.
The WRI’s ESB team is advancing our expertise in nurturing the ecosystem of decarbonization within manufacturing industries (e.g. cement, chemical, iron & steel, etc.), strengthening our institutional knowledge on clean heat solution and energy efficiency, and co-create energy supply strategies to meet the industries’ demand for clean energy with our partners. Industrial Park is an important part of the industrial climate transition where innovations are urgently needed. Its unique nature of operation -clusters of industries, managed by an industrial park management company- opens opportunities for more integrated climate solutions such as integrated energy planning, circularity, district heating/cooling, and integrated green procurement. Through the ESB program, we aim to support industrial park transformation by adopting a sustainable framework for industrial parks and implementing more climate solutions to provide replicable best practices.
WRI Indonesia believes that sustainable development highlights the need for integrated approaches to finding solutions that are aligned with the challenge of achieving economic, social, and environmental goals that are often interlinked. This can be a daunting task, as the interlinkages are complex and context-specific and depend, inter alia, on the issues under consideration, the geographic and temporal scales, the sector of the industry, and the existing technologies. Therefore, the ESB program works across disciplines with the cities team, climate team, and the ocean to combine low carbon technology systems, quantitative models, and other policy-making decision tools to achieve and support key national initiatives in Indonesia such as the acceleration of the achievement of national renewable energy targets and net zero ambition.
Job Highlight
Project Operations Assistant will play an important role in supporting the efficient execution of project operations and administration within the assigned project, from preparation to reporting, ensuring all task aligned with WRI Indonesia policies and procedures, and donor’s requirements. The responsibilities include but not limited to handling documentations for each activity ensuring a proper recording and reporting, oversee and meticulously handling travel arrangement for project team, event organizing, close collaboration with vendors and ensuring timely invoicing, project implementation financial management, and develop expenses report.
This position will work under the direct supervision of Project Operations Specialist. In carrying out daily task and external stakeholder engagement, this position required to work closely and collaboratively with Project Lead, project team, and operations team.
This position will be based in Jakarta with office-flex working arrangement, and high travel frequencies to both international or domestic destination. What You Will Do
Finance Administration (60%)
- Manage payment of all bills from vendors, expense reimbursements, cash advance and report from staff.
- Record all financial transactions, generate and review monthly financial reports
- Process the payments and managing invoices, follow up with clients, suppliers, and partners as needed
- Complete and accurate recording/reconciliation of operational control/tracking against projects on budget, fund, travel expenses and petty cash, this works will coordinate closely with Project Operations Specialist and Finance unit.
- Support audit visit needs are well coordinated, and all documents/information required by the auditors is promptly provided.
- Provide data support in the audit process.
- Support in planning and reviewing budgets and expenditure as necessary and preparing monthly/quarterly/annual reports and other data as required.
- Provide support to staff/consultant on the production of timesheets, travel claims/expense reports, reimbursements, participant agreements, orders and any other relevant financial documentation.
- Handling the outstanding filing system of project
Operational (35%)
- Provide optimum support to Project Operations Specialist in managing back-office activities in sub-national and national activities pertaining to the assigned project.
- Processing procurement request according to rules and regulations set by project. Maintain a good coordination with WRI Indonesia’s procurement team to avoid overlap.
- Ensures functionality of operations including coordinating document flow and organization, purchasing supplies, arranging travels and events, equipment and furniture, and communication; supports with project needs to provide events and meeting coordination across the organization.
- Manages operational expenses in consultancy with Project Operations Specialist, including occupancy, office services, insurance, IT, legal, tax, and others to ensure efficient and effective use of donor resources.
- Preparing, maintaining, monitoring, and improving the operational systems, processes, procedures and records in accordance to WRI Indonesia’s policy–specifically, support better management reporting, information flow and management, and organizational planning.
- Build strong understanding of project’s rules and regulations to assist Project Operations Specialist in providing outstanding administrative support and guidance to the project team to ensure ineligible cost or audit finding can be minimized.
Occasional Significant Duties (5%)
- Day to day assistance of other jobs in the Operations unit, as and when required
- Significant other duties as assigned by Project Operation Specialist
What You Will Need
Required Qualifications:
- Bachelor’s degree Finance, Accounting, Business Administration or other related fields.
- Minimum 2 (two) years of full-time work experience in project operations, project implementation, or administrative support, preferably in a non-profit or environmental organization
- Strong organizational and time management skills
- Basic knowledge in financial procedures, including invoicing, cash advances, and financial reporting.
- Experience in maintaining organized filing system, record-keeping, procurement, and travel arrangement.
- Proficiency in Microsoft Office Suite (Excel, Word, Powerpoint)
- Business proficiency in Bahasa Indonesia and English for both verbal and written communications.
- Ability to write and speak in an organized, clear, and articulate manner for a wide range of audiences, including government, private sector and local NGOs.
- Ability to manage multiple project simultaneously with manager supervision while maintaining high accuracy and compliances.
- Detail-oriented and organized thinker with proactive attitude who can juggle multiple, competing priorities.
- Ability and willingness to travel when needed.
- Legally able to work in Indonesia
Preferred Qualifications:
- Experience working with German donor with strong familiarity on policies and procedures (e.g. GIZ, KfW, BMZ)
- Experience working within multi-stakeholder/inter-sectoral groups such as government, private, civil societies, and other stakeholder engagement.
- Basic understanding in sub-grant management protocols and policies among local CSOs and international donors.
Contract Arrangement
Full-time with fixed-term employment agreement up to 1 (one) year period with 3 (three) months of consultancy contract apply before the fixed-term employment agreement started.
