A dynamic property investment and finance group based in Bali is looking for a highly organised Executive Assistant to join their team immediately.
The ideal candidate is a highly organised, discreet, and proactive professional with strong administrative and communication skills. They excel in managing schedules, coordinating meetings, handling confidential information, and supporting senior executives in a fast-paced environment. A background in property, investment, or finance is a plus, along with the ability to multitask and anticipate executive needs with precision and professionalism.
Requirements :

- Bachelor’s Degree in Business Administration, Communications, Management, or a related field.
- Minimum three years of experience as an Executive Assistant, supporting C-level, VP, or Director-level executives in a dynamic and fast-paced environment.
- Proven ability to manage complex, cross-country calendars, international travel itineraries, and remote coordination across time zones.
- Comfortable working across multiple departments and providing support for a wide range of executive and operational needs.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Microsoft Teams.
- Excellent written and verbal communication skills in English, with strong attention to detail and a high degree of professionalism.
- Strong organisational, problem-solving, and time management skills with the ability to multitask and prioritise effectively.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Familiarity with the property development and/or financial services industries is a plus.
- Self-motivated, proactive, and adaptable to evolving priorities and executive needs.
Responsibilities :
- Provide comprehensive administrative assistance to the Board of Directors and senior management team.
- Manage complex calendars, schedule meetings across multiple time zones, and coordinate international and domestic travel arrangements.
- Organise and support executive meetings, including preparing agendas, taking minutes, and ensuring timely follow-ups on action items.
- Assist in the preparation of reports, presentations, decks, and business proposals as required by the executive team.
- Ensure accurate and timely documentation of internal communications, memos, and correspondence.
- Maintain a high level of professionalism in all forms of communication, both internal and external.
- Serve as a liaison between executives and internal/external stakeholders, including coordinating lead allocation, investor visits, and partner engagements.
- Help streamline workflows and cross-functional collaboration among departments.
- Support executives with project tracking, task prioritisation, and process optimisation to improve efficiency and execution.
- Maintain confidentiality of sensitive information and manage multiple priorities in a fast-paced environment.
- Provide ad-hoc support to various department heads, ensuring smooth administrative operations and aligned timelines across teams.
- Anticipate needs and proactively manage upcoming tasks, deadlines, and potential bottlenecks.
