Position: Operational Admin & Event Planner - Based in Ubud - Must be willing to drive to Ubud for work.

We are seeking a highly organized, creative, fun, Operational Admin & Event Planner for our Bali Retreat Planning Company in Ubud, Bali. We are looking for a FEMALE team member to join us to help take care of planning and executing unforgettable Bali retreats under our successful brand.

As the Operational Admin & Event Planner, you will be responsible for coordinating our retreats along with the rest of the operations team, ensuring they run smoothly, and providing our guests with a memorable and transformative experience in the beautiful setting of Bali, Indonesia.

Responsibilities:

1. Logistical Admin: Office based.

- Collaborate with the management team to plan all the logistics for a Bali retreat, complete the necessary files required in a timely manner and with a high level of accuracy, high level of attention to detail needed . MUST have excellent Excel skills.

2. Vendor Management:

- Manage relationships with vendors, including accommodations, transportation, catering, activity providers, and other service providers.

- Ensure all vendors meet our quality standards and align with the retreat's objectives.

3. Guest Experience and Onsite Customer Service: Onsite at events 50% of the job.

- Focus on delivering exceptional customer service and guest experiences onsite throughout the retreat.

- Address guest inquiries, concerns, and special requests promptly and professionally.

4. Logistics and Operations: Onsite.

- Oversee the logistical aspects of the retreat, including transportation, event setup, equipment rentals, and on-site coordination, pre logistics and detailed files for a smooth operation.

Requirements:

- 5 years proven work experience in a senior admin/customer service position or events, preferably in travel or tourism. Experience working with Westerners is a bonus, as all of our clients are Western and speak English. Excellent English a MUST.

- Excellent organisational and project management skills.

- Outstanding interpersonal and communication skills for effective team collaboration and guest interaction.

- Knowledge of Bali's local culture, attractions, and hospitality industry is a plus.

- Ability to work under pressure and handle multiple tasks simultaneously.

- Excellent excel skills and a strong attention to detail.

- Fluent in English. (Must be able to speak and write, very well, owners are Western)

- Bachelor's degree in Business, Hospitality, Tourism, or a related field is preferred.

We are looking for a FEMALE candidate due to the high female clients we work with, someone living in Gianyar is preferred for ease of travel as all of our events are in Ubud area, if not Gianyar, then anywhere in Bali if your happy to travel daily to Ubud. This role is a mix of onsite at retreats supporting the leaders and group on activities and office admin at our Ubud office.
